Learn how Cadence Solutions collects, uses, protects, and manages your information when you visit our website or use our services.

Transparency, security, and responsible data practices are fundamental to how we support our clients.

At Cadence Solutions, we value the trust our clients place in us. This Privacy Policy explains what information we collect, how it is used, and the steps we take to protect it.

  • This Privacy Policy applies to Cadence Solutions LLC, a Florida limited liability company with its principal place of business in Winter Park, Florida ("Company," "we," "us," or "our"). The Company operates under two service brands: Cadence Syntera (Managed IT Services) and Cadence Voice (Hosted VoIP and Business Communications Services). This policy applies to all Company websites, services, and business activities conducted under any of these names. Inquiries regarding this policy may be directed to: privacy@cadenceitech.com

  • The Company collects personal information only to the extent reasonably necessary to provide services, fulfill contractual obligations, and operate its business. The categories of information collected are as follows:


    2.1 Information Provided Directly by the Individual
    • Full name, business name, and job title
    • Business and personal contact information, including email address, telephone number, and mailing address
    • Payment and billing information, processed through a third-party payment processor. The Company does not store complete payment card numbers
    • Content of communications submitted through contact forms, email, or support ticketing systems
    • Information provided during service onboarding, account setup, or execution of service agreements


    2.2 Information Collected Automatically
    When you visit cadenceitech.com, the Company automatically collects certain technical information through standard web analytics tools, including:
    • Internet Protocol (IP) address and approximate geographic location (city or region level)
    • Browser type, device type, and operating system
    • Pages accessed, duration of visit, and navigation path
    • Referring URL or search engine query
    This information is used solely for website performance analysis and is not used to identify individual visitors or build user profiles.


    2.3 Information Collected in the Course of Service Delivery (Clients Only)
    • Network, endpoint, and system data related to devices under active management
    • Call detail records (CDRs) and telephony usage data for Cadence Voice clients
    • Account credentials and configuration data stored in the Company's secure documentation system (ITGlue) for the sole purpose of managing the client's technology environment
    • Information provided in connection with support requests, change orders, or incident reports

  • Personal information collected by the Company is used for the following purposes:


    • Delivering managed IT and VoIP services as described in the applicable service agreement
    • Account management, invoicing, and payment processing
    • Responding to support requests, service inquiries, and customer communications
    • Fulfilling legal, regulatory, and contractual obligations
    • Improving the performance and usability of the Company's website and service platforms
    • Sending service-related notices and, where consented to, periodic communications regarding Company
    services. Recipients may opt out of non-essential communications at any time.  The Company does not sell, license, or otherwise disclose personal information for advertising, marketing, or commercial data purposes.

  • The Company discloses personal information to third parties only where necessary to operate its business and deliver contracted services. The following service providers may process personal information on the Company's behalf:
    Service Provider Purpose ConnectWise Service ticketing, client account management, and ticketing/billing NinjaOne. Remote monitoring and management of client endpoints and infrastructure. Bitdefender GravityZone Endpoint detection, response, and security administration. Acronis Backup, recovery, and data protection services. ITGlue Technical documentation and credential management. Microsoft 365 Internal business communication and collaboration.

     

    Payment Processor Secure processing of invoices and payment transactions. Complete payment card data is not stored by the Company. The Company does not sell personal information.

     

    The Company does not share personal information with advertisers, data brokers, or any third party for commercial purposes. The Company may disclose personal information without prior notice where required by law, including in response to a valid court order, subpoena, or lawful request from a government authority. The Company may also disclose information where necessary to prevent harm to an individual or to protect the legal rights of the Company. In the event of a merger, acquisition, or sale of substantially all Company assets, personal information may be transferred to the acquiring entity. Affected individuals will be notified of any such transfer and the applicable privacy terms.

  • The Company implements reasonable and appropriate administrative, technical, and physical safeguards to protect personal information against unauthorized access, disclosure, alteration, and destruction. Specific measures include:


    • Encryption of data in transit using TLS 1.2 or higher
    • Role-based access controls limiting access to personal data to personnel with a documented operational need
    • Multi-factor authentication enforced on all internal administrative systems
    • Secure, access-controlled storage of sensitive credentials and configuration data
    • Periodic internal security assessments consistent with the Company's own service delivery standards. No security measure can guarantee absolute protection against all potential threats. The Company's security practices are reviewed and updated on a regular basis.

  • In the event of a security breach involving personal information, the Company will notify affected individuals in accordance with Florida law. Pursuant to Fla. Stat. § 501.171, notification will be provided within thirty (30) days of the Company's determination that a breach has occurred. Notification will describe the nature of the breach, the categories of personal information involved, the approximate number of individuals affected where determinable, and the measures the Company has taken or intends to take in response.

  • Personal information is retained for the duration of the service relationship and for a period thereafter as necessary to satisfy legal, regulatory, and contractual obligations. As a general practice, the Company retains client records for a period of three (3) years following termination of the service relationship, after which records are deleted or rendered non-identifiable. Individuals may request earlier deletion of their personal information by contacting the Company at the address provided in Section 10. Such requests will be honored to the extent not inconsistent with applicable legal or contractual retention requirements.

  • Individuals whose personal information is held by the Company may exercise the following rights by submitting a written request to privacy@cadenceitech.com:


    • Right of Access. Request a description of the categories of personal information the Company holds about you
    • Right to Correction. Request correction of inaccurate or incomplete personal information
    • Right to Deletion. Request deletion of personal information, subject to legal and contractual retention requirements
    • Right to Opt Out of Marketing. Opt out of non-essential commercial communications at any time, with no effect on service delivery
    • Right to Know Third-Party Disclosures. Request the categories of third parties to whom the Company has disclosed your personal information

    The Company will respond to verified requests within thirty (30) days of receipt. No fee is charged for submitting a request. The Company will not discriminate against any individual for exercising their rights under this policy.


    Note: The Florida Digital Bill of Rights (Fla. Stat. § 501.70 et seq.) applies to entities meeting specific revenue and operational thresholds that the Company does not currently meet. The rights described above are offered voluntarily as a matter of good practice and will be updated if the Company's circumstances change.

  • The Company's services are directed exclusively to businesses and business professionals. The Company does not knowingly collect personal information from individuals under the age of 18, and its website is not directed at minors. If the Company becomes aware that personal information has been collected from a minor without appropriate consent, that information will be deleted promptly. Concerns regarding this matter may be directed to privacy@cadenceitech.com.

  • The Company's website uses standard browser cookies and similar technologies for limited purposes, including basic website functionality and aggregate traffic analysis. The Company does not use cookies or tracking technologies for behavioral advertising, cross-site tracking, or the sale of user data. Visitors may control cookie preferences through their browser settings. Disabling cookies may affect certain website features but will not prevent access to the Company's content or contact information.

  • The Company's website may contain links to third-party websites. This policy applies solely to cadenceitech.com and the Company's service platforms. The Company is not responsible for the privacy practices of third-party websites and encourages visitors to review the privacy policies of any external site they access.

  • This policy is reviewed at least annually and updated as necessary to reflect changes in the Company's data practices or applicable law. The effective date at the top of this document indicates when the policy was last revised. Material changes will be disclosed on the Company's website and, where appropriate, communicated directly to existing clients.
